About the position
Under Deck Oasis is looking for an organized, computer-savvy problem solver to support our growing sales department. This position works behind the scenes to help turn customer ideas and sales opportunities into accurate quotes, completed paperwork, and projects that are ready to move forward.
You’ll work closely with our Sales Manager, preparing estimates, organizing project information, handling documentation, and keeping important details from slipping through the cracks. Over time, the right person will also have the opportunity to grow into light design and layout work using SmartDraw.
This is a great fit for someone who enjoys making things make sense, is comfortable learning new technology, and gets a strange, but satisfying, amount of enjoyment from a clean spreadsheet and a correctly completed form.
What you’ll do
- Prepare customer quotes and estimates for the sales department
- Review project information for accuracy and completeness
- Enter and maintain customer, project, and pricing information
- Prepare contracts, proposals, sales paperwork, and other project documentation
- Coordinate with the Sales Manager to obtain missing information
- Keep quotes, documents, and project files organized and up to date
- Assist with sales-related administrative and back-office tasks
- Communicate professionally with customers by phone and email when needed
- Help answer routine customer questions and direct more technical matters to the appropriate team member
- Use Microsoft Office applications, including Excel, Word, and Outlook
- Learn and use SmartDraw to assist with basic project layouts and design work
- Gradually take on additional design, takeoff, or technical responsibilities based on ability and interest
- Help improve quoting, documentation, and sales-support processes as the company grows
- Pitch in wherever needed, because in a growing company, occasionally defeating an unruly PDF is part of the adventure
What we’re looking for
- Strong organizational skills and close attention to detail
- Confidence using computers and the ability to learn new software quickly
- Working knowledge of Microsoft Office, especially Excel, Word, Outlook, and Teams
- Strong written and verbal communication skills
- Professional phone and email etiquette
- Comfort working with numbers, measurements, pricing, and detailed project information
- Ability to manage multiple priorities and follow tasks through to completion
- A dependable, team-oriented attitude
- Willingness to ask questions, solve problems, and learn how our products and processes work
- Relevant skills and experience are valued; a college degree is not required
Preferred experience
Experience in one or more of the following areas is preferred:
- Sales support or sales administration
- Estimating or quoting
- Construction or home improvement
- Engineering or technical work
- Office administration
- Drafting, layouts, or design
- Customer service
- Microsoft Office and spreadsheet-based work
- SmartDraw or similar design software
